The Customer Portal gives your retail partners, distributors, and resellers self-service access to product images, data sheets, and brand assets. Instead of fielding email requests for product photos or manually sharing files via cloud storage, your customers log in to a branded portal and download exactly what they need.
The portal is a separate, public-facing section of Nexera that is completely isolated from your main dashboard. Portal users cannot access the product editor, settings, or any administrative functions. They see only the products and asset folders you have explicitly granted them access to.
Key portal features:
Branded experience: customise the portal with your logo, brand colours, and a custom subdomain (e.g. yourbrand.nexera.app).
Customer groups: organise customers into groups and control which products and folders each group can access.
Passwordless login: portal users log in with an email-based OTP, the same secure passwordless flow used by the main application.
Format selection: customers choose their preferred image format and size when downloading, using your predefined presets.
Download analytics: track which customers download which assets, how often, and in which formats.
Plan availability
The Customer Portal module is available on the Pro plan and above. Free and Basic plans do not include portal access. You can upgrade to Pro from the Billing page at any time.

Enabling and configuring the customer portal takes just a few minutes. Once active, you can start inviting customers immediately.
Enable the portal module: Go to Settings then Modules and toggle the Customer Portal switch to enabled. This activates the portal routes and makes the configuration options available.
Configure your portal URL: Choose a subdomain for your portal (e.g. yourbrand.nexera.app). This is the URL your customers will use to access the portal. You can also configure a custom domain if you prefer to use your own domain name.
Customise branding: Upload your company logo, set primary and secondary brand colours, and optionally add a welcome message that appears on the portal login page. The portal inherits your brand identity for a professional appearance.
Create customer groups: Before inviting customers, create at least one customer group. Groups determine which products and folders are visible to each set of customers. You can create groups like "EU Distributors", "US Retailers", or "Press".
Assign products and folders: For each customer group, select which products and asset folders should be accessible. You can grant access to entire categories or hand-pick individual products.
Invite your first customer: Add a customer email address to a group. The customer receives an invitation email with a link to the portal. They log in using the same passwordless OTP flow as the main application.
Portal preview
Use the Preview button in portal settings to see exactly what your customers will see when they log in. The preview shows the branded login page, product grid, and download interface with sample data.
The portal's access control system is built around Customer Groups. Each group defines a set of products and asset folders that its members can access. This allows you to create different views for different types of customers.
A customer group is a named collection of customers who share the same product access. Common group structures include:
Premium Retailers: All active products, all asset folders, high-res downloads · Key retail partners
Standard Retailers: Current season products, web-ready images only · Regular retail accounts
Press & Media: Lookbook and lifestyle folders, brand assets, high-res · Journalists, bloggers, influencers
Marketplace Partners: Product data and packshots for marketplace listings · Amazon, Bol.com, Zalando sellers
For large retail partners with many team members, you can configure domain-based auto-membership. When you associate an email domain with a customer group (e.g. @retailpartner.com), any person with that email domain can self-register for the portal and automatically join the correct group.
This eliminates the need to individually invite every person at a partner organisation. New employees with the correct email domain gain instant access, and former employees lose access when their email is deactivated.
Large partner onboarding
Use domain-based access for large retail partners with many team members. Instead of sending individual invites, share the portal URL with the partner and let their team self-register. Everyone with an @partner.com email automatically receives the correct access level.
For each customer group, you can configure access at two levels:
Product access: select individual products, entire categories, or all active products. Only products with Active status are visible in the portal.
Folder access: select specific asset folders. This is useful for granting access to brand assets, lifestyle photos, or seasonal campaign materials independently of product access.
Portal sessions expire after 30 days of inactivity. Customers can remain logged in across sessions as long as they use the portal at least once per month.
The download experience is designed to be simple and self-service. Portal customers can find the products and assets they need, choose their preferred format, and download without any back-and-forth with your team.
When customers log in to the portal, they see a product grid showing all products they have access to. The grid includes product thumbnails, names, and SKUs. Customers can search by name or SKU, and filter by category.
Clicking a product opens the product detail view, showing all available images and their metadata (dimensions, file size, format). From here, customers can select individual images or download all images for the product at once.
When a customer clicks Download, they can choose from the format and size presets you have configured. For example, a retailer might download web-optimised WebP images for their online store, while a print partner might need high-resolution TIFF files for a catalogue.
Available presets are controlled by the customer group configuration. You can restrict certain groups to web-ready formats only, while giving premium partners access to the full range of formats and resolutions.
Customers can select multiple products or multiple images and download them in a single ZIP file. The ZIP is generated in the background and a download link is sent when ready. This is useful for seasonal collection downloads where a retailer needs hundreds of images at once.
Every download is tracked and visible in your dashboard under Portal → Analytics. The analytics show:
Downloads per customer: see which customers are most active and which products they download most.
Downloads per product: identify which products generate the most interest from your retail network.
Format preferences: understand which formats your customers prefer, helping you optimise your asset preparation workflow.
Download timeline: track download activity over time to correlate with seasonal buying patterns or marketing campaigns.
No portal user limits
There is no limit on the number of portal users within your plan. You can invite as many customers as you need. The portal is designed to scale with your distribution network.
