Nexera's settings give you full control over your workspace: team members, roles, custom fields, notification preferences, and audit logging. Everything you need to configure how your team works with product data lives in one place.
Navigate to Settings in the sidebar to access all configuration options. The settings area is organised into dedicated sections for each concern, team management, attributes, tags, notifications, presets, and the audit log.
Admin-only access
Most settings require the ADMIN or TENANT_ADMIN role. Editors and Viewers can see their own profile settings but cannot modify workspace-level configuration.
Navigate to Settings → Team to manage your workspace members. The team page shows all current members with their name, email, role, last active date, and status.
Click "Invite Member": Open the team settings page and click the Invite Member button in the top-right corner.
Enter their email address: Type the email address of the person you want to invite. They do not need an existing Nexera account.
Select a role: Viewer, Editor, or Admin: Choose the appropriate role for the new team member. You can change this later at any time.
Click Send Invitation: The invitation is sent immediately. You will see a pending status next to the new member until they accept.
The user receives a verification email: The invited user receives an email with a link to join your workspace. They log in using passwordless OTP login, no password is required.
Nexera uses three roles to control what team members can do in the workspace. Use the table below to understand the differences:

To change a team member's role, click the role badge next to their name on the team page. A dropdown appears with the available roles. Select the new role and the change takes effect immediately.
Click Remove next to a team member to revoke their access. The removal takes effect immediately, the user is logged out on their next request. All content they created (products, assets, comments) is preserved and remains accessible to other team members.
Plan limits
Your plan determines the maximum team size. Free: 1 member, Basic: 3 members, Pro: 25 members, Enterprise: unlimited. Upgrade your plan from the Billing page if you need more seats.
Navigate to Settings → Attributes to manage custom attributes. Custom attributes extend the default product fields with your own data points, allowing you to capture information specific to your business.

Nexera supports six attribute types:
Text: free-form text input for descriptions, notes, or any unstructured data.
Number: numeric values with optional unit labels (e.g. grams, centimetres).
Select: a single-choice dropdown with predefined options.
Multi-select: a multi-choice field where multiple options can be selected.
Boolean: a yes/no toggle for simple flags like "recyclable" or "gift-wrappable".
Date: a date picker for fields like warranty expiry or launch date.
Go to Settings then Attributes: Open the settings area and navigate to the Attributes section.
Click "Add Attribute": Click the Add Attribute button to open the attribute creation form.
Choose a type: Select the attribute type that best fits your data: Text, Number, Select, Multi-select, Boolean, or Date.
Configure options: Enter the attribute name, set whether it is required or optional, provide a default value, and define the available options for Select and Multi-select types.
Save: Click Save to create the attribute. It appears automatically in the product editor and in import/export templates.
Consistency matters
Use Select or Multi-select for values that should be consistent across products (e.g. materials, certifications, size ranges). Use Text for free-form values that vary from product to product.
Tags are lightweight labels you can attach to products for flexible organisation. Unlike categories (which are hierarchical), tags are flat, a product can have many tags with no nesting.
Navigate to Settings → Tags to manage all tags in your workspace. From here you can create, rename, merge, and delete tags.
Click Add Tag to create a new tag. Each tag has a name and an optional colour. Colours help you visually distinguish tags in the product list and editor.
The tag management page supports bulk operations to keep your tags clean and consistent:
Merge duplicates: select two or more tags and merge them into one. All products with the old tags are updated to use the merged tag.
Rename: rename a tag and the change is applied across all products that use it.
On the Products page, use tags as filters to quickly find product groups. You can combine multiple tag filters to narrow results further. Tags also appear as filter options in export and bulk-edit views.
You don't have to visit Settings to create tags. When editing a product, type a new tag name in the tags field and it is created on the fly. Tags created this way also appear in Settings → Tags for global management, so your team can rename, merge, or delete them later.
Tags are not automatically synced to Shopify when you create or assign them. They are included only when you explicitly sync a product, via manual sync, selective sync, or a scheduled sync job.
The typical workflow is:
Create a tag (in Settings or inline on a product).
Assign the tag to one or more products.
Sync those products to Shopify, Nexera sends all assigned tags as comma-separated Shopify product tags.
If you remove a tag from a product and sync again, the tag is also removed from the Shopify side. Renaming or merging tags in Settings takes effect on the next sync of affected products.
Because Nexera tags become native Shopify product tags after sync, you can use them to power Shopify automated collections. For example, create a tag "Summer 2026" in Nexera, assign it to the relevant products, and sync. Then in Shopify, create an automated collection with the condition "Product tag is equal to Summer 2026". Shopify will automatically populate the collection with matching products, no manual curation needed.
When do tags reach Shopify?
Tags are pushed to Shopify only during an explicit product sync (manual, selective, or scheduled). Creating or editing a tag in Nexera does not trigger an automatic sync, you always stay in control of when data reaches your store.
Tags vs categories
Use tags for temporary or cross-cutting groupings like "Spring Campaign", "Needs Review", or "Best Seller". Use categories for your permanent product hierarchy (e.g. Apparel → Jackets → Ski Jackets).
Navigate to Settings → Notifications to configure which events trigger email notifications. Each team member can customise their own notification preferences independently.
Notifications are organised into five categories, each covering a different area of the platform:
Product events: new product created, product updated, product deleted.
Asset events: asset uploaded, asset processing complete.
Sync events: Shopify sync started, sync completed, sync errors.
Supplier events: new submission received, submission status changed.
Team events: new member joined, member role changed.
Each notification category can be set to one of three delivery modes:
Email: receive both an email notification and an in-app notification.
In-app only: receive a notification in the Nexera dashboard bell icon, but no email.
Off: no notification is sent for events in this category.
Critical alerts
Critical alerts (sync failures, system errors) are always sent by email regardless of your notification preferences. This ensures you are immediately aware of issues that require attention.
Presets are product templates that pre-fill fields when creating new products. They save time and ensure consistency across your catalogue, especially when your workspace manages different product types that share common attributes.
Navigate to Settings → Presets to manage your product presets.

Go to Settings then Presets: Open the settings area and navigate to the Presets section.
Click "New Preset": Click the New Preset button to open the preset creation form.
Set a name: Give the preset a descriptive name, such as "Apparel, Winter Collection" or "Accessories, Basic".
Pre-fill category, brand, and attributes: Select the default category, brand, status, and any custom attribute values that should be pre-filled when this preset is used.
Save: Click Save to create the preset. It will now appear in the preset selector when creating a new product.
Use when creating products: When creating a new product, select a preset from the dropdown at the top of the product form. All pre-filled values are applied instantly, you can override any of them.
Speed up data entry
Create presets for your most common product types to speed up data entry and ensure consistency. Teams that use presets report up to 40% faster product creation times.
Navigate to Settings → Audit Log to view a chronological record of all significant actions in your workspace. The audit log provides complete visibility into who did what, when, and to which resource.
The audit log captures a wide range of events across the platform:
Authentication: user logins, failed login attempts, session expirations.
Products: product created, updated, archived, deleted, and status changes.
Assets: asset uploaded, replaced, deleted, and processing events.
Sync operations: Shopify sync triggered, completed, or failed with error details.
Settings: workspace settings changed, attributes created or modified.
Team changes: members invited, removed, or role changed.
Supplier actions: supplier portal submissions received, approved, or rejected.
Each audit log entry includes:
Timestamp: the exact date and time of the action.
User: who performed the action.
Action: what was done (e.g. "product updated", "member invited").
Affected resource: which product, asset, or setting was affected, with a direct link.
Details: additional context, such as which fields were changed and their before/after values.
Use the filter controls at the top of the audit log to narrow down entries. You can filter by:
Date range, view events within a specific time period.
User, see all actions performed by a particular team member.
Action type, focus on specific event types like deletions or sync errors.
Resource type, filter by products, assets, settings, or team events.
Audit log retention depends on your plan: logs are retained for 90 days on the Pro plan and 1 year on the Enterprise plan. Free and Basic plans have 7-day retention. Use the audit log for compliance, troubleshooting sync issues, or understanding who changed what and when.
Read-only log
Audit logs are read-only, entries cannot be modified or deleted by any user, including admins. This ensures a trustworthy, tamper-proof record of all workspace activity.
